These Terms of Service (“Terms”) govern your use of the QuickCertify website and the document-processing coordination services offered by [Insert Full Legal Entity Name] (“QuickCertify”, “we”, “our” or “us”).
By submitting an enquiry, accepting a quotation, placing a service request, making a payment or otherwise engaging our services, you agree to these Terms and any additional service-specific terms confirmed to you in writing.
If you do not agree with these Terms, please do not place a service request.
1. About QuickCertify
QuickCertify provides document-processing coordination and related assistance for individuals, students, professionals and businesses who need documents prepared for use in India or abroad.
Depending on the service agreed, we may help customers understand the likely process, identify information and supporting documents, and coordinate processing arrangements through relevant authorities or providers.
QuickCertify is an independent service provider. We are not a government department, embassy, consulate, university, document-issuing authority or statutory certification body.
We do not issue apostilles, government attestations, embassy legalisations or other official endorsements unless a particular act is lawfully performed by a competent authority and not by QuickCertify itself.
2. Scope of Services
The services we may offer include assistance or coordination relating to:
- Apostille processing
- Document attestation and MEA-related processing
- Educational document authentication, including HRD or other applicable preliminary authentication routes
- Notarisation-related coordination
- SDM-related authentication, where applicable
- Embassy or consular attestation and legalisation
- Commercial document authentication, including relevant Chamber of Commerce processes
- Document requirement assessment and process guidance
Not every service is available for every document, issuing authority, state or destination country.
The services included in your order are only those described in the quotation, order confirmation or other written service agreement accepted by you.
Unless expressly agreed in writing, our services do not include legal advice, legal representation, translation, document drafting, correction or reissuance by the issuing authority, courier delivery, visa services, immigration representation or a guarantee of acceptance by a foreign recipient.
3. Enquiries, Quotations and Service Confirmation
An enquiry or request for a quotation does not by itself create an obligation for QuickCertify to accept the request or commence processing.
Before a service is confirmed, we may need to review information such as:
- Document type and issuing authority
- Place or state of issue
- Destination country and intended use
- The condition and format of the document
- Instructions provided by the receiving organisation
- Applicable preliminary authentication or legalisation requirements
A quotation may specify the proposed service scope, charges, estimated processing arrangements, customer responsibilities and any relevant exclusions.
A service is considered confirmed when QuickCertify accepts the request and communicates the applicable confirmation or order details. Payment alone does not expand the service scope beyond what has been agreed.
We may decline or pause a request where the document, instructions, legal requirements, service availability or other circumstances prevent us from reasonably proceeding.
4. Customer Responsibilities
You are responsible for:
- Providing accurate, complete and up-to-date information about your documents and intended use.
- Providing genuine documents and not knowingly submitting forged, altered, misleading or unlawfully obtained material.
- Ensuring that you are entitled to submit the documents and authorise the requested processing.
- Providing supporting information and documents reasonably required for the agreed service.
- Reviewing the quotation, service scope, charges and known requirements before confirming.
- Informing us promptly of any deadlines, special instructions or changes communicated by the receiving organisation.
- Checking the final document and promptly raising any apparent issue.
- Keeping copies of documents and records where appropriate.
- Following reasonable instructions concerning document submission, identity verification and collection.
You must not ask QuickCertify to misrepresent a document, bypass a lawful requirement, make an unauthorised alteration or obtain an official endorsement through an improper means.
We may pause or decline a request if we reasonably believe that proceeding would be unlawful, misleading, unsafe or inconsistent with the applicable authority’s requirements.
5. Document Eligibility and Official Requirements
Document eligibility and processing routes depend on the document, issuing authority, destination country, purpose and current official procedures.
Information provided by QuickCertify is intended to help you understand the likely process. It is not a binding decision by a government authority, embassy, consulate, university, employer, immigration authority or other receiving organisation.
Official requirements may change, and an authority may request additional documents, verification, a different format or another processing step.
Where a requirement is unclear or cannot reasonably be confirmed, we may ask you to obtain clarification from the relevant authority or recipient before proceeding.
You remain responsible for checking that the final document satisfies the requirements of the organisation for which it is intended.
6. No Guarantee of Official Approval or Acceptance
QuickCertify does not guarantee:
- That a document will be eligible for apostille, attestation or legalisation.
- That an authority will accept, authenticate, apostille, attest or legalise a document.
- That a university, employer, embassy, consulate, immigration authority or other recipient will accept a processed document.
- That a visa, admission, employment, immigration, licensing or business outcome will be approved.
- That a particular processing time will be achieved where it depends on an authority or third party.
Official decisions are made by the relevant competent authority. Acceptance for a particular purpose is decided by the receiving organisation.
We will not knowingly describe an official outcome as guaranteed when it is outside our control.
7. Processing Times and Delays
Any processing time or completion date communicated before or during a service is an estimate unless expressly identified as a specific written commitment.
Processing may be affected by:
- Authority workload and appointment availability
- Verification or authentication requirements
- Incomplete, inconsistent or unsuitable documents
- Requests for additional information
- Public holidays, closures or changes in official procedures
- Embassy, consular or third-party processing arrangements
- Technical disruptions, transport issues or other events outside our reasonable control
We will communicate relevant information about known delays according to the agreed service arrangements.
A delay does not automatically establish that QuickCertify has breached these Terms. However, this provision does not exclude any remedy or responsibility that applicable law requires us to honour.
Customers should allow sufficient time before travel, admission, employment, visa or other deadlines and should not rely on an unconfirmed estimate as an official deadline commitment.
8. Fees, Taxes and Payment
The applicable service charges will be communicated in the quotation, order confirmation or other written service details.
Depending on the request, the total amount may include separate components such as:
- QuickCertify service charges
- Official or authority fees
- Third-party processing charges
- Applicable taxes
- Other expressly disclosed expenses
We will identify charges and any material assumptions before you confirm the service, to the extent reasonably practicable.
Payment must be made using the method and within the period communicated to you. We may delay commencement until the required payment or deposit has been received.
Where additional work or charges become necessary because the requirements or service scope change, we will seek your approval before undertaking chargeable additional work, except where a different arrangement has been expressly agreed or applicable law permits otherwise.
9. Changes to the Request
If you change the destination country, document type, intended use, document format or other material details after confirmation, the original quotation may no longer apply.
We will discuss whether the change is feasible and whether it affects the service scope, charges or estimated processing arrangements.
Additional work will be subject to your approval and any revised service confirmation.
10. Cancellation, Refunds and Work Already Undertaken
You may request cancellation by contacting us using the details provided on our website or in your order confirmation.
The amount refundable, if any, will depend on:
- The service terms communicated and accepted
- Whether work has commenced
- The stage of processing reached
- Whether official or third-party charges have already been paid or incurred
- Whether any amounts are recoverable from the relevant authority or provider
- Any applicable legal rights and obligations
Where permitted by law and properly disclosed before confirmation, charges for work already completed and non-recoverable third-party or official expenses may be deducted from a refund.
We will not treat a term in this section as permission to retain amounts that applicable law requires us to refund.
If QuickCertify is unable to provide a material part of the agreed service, we will discuss the available options, which may include an appropriate refund or other remedy, subject to the service agreement and applicable law.
Refund requests will be reviewed and processed within a reasonable period and in accordance with applicable requirements and the payment provider’s procedures.
11. Rejection, Return or Additional Requirements
An authority or provider may reject a document, request additional information, require corrections or direct the customer to a different process.
Where this occurs, QuickCertify may explain the information communicated to us and discuss whether further coordination is available.
Additional processing may require a revised quotation or new service request.
Unless the rejection or additional requirement results from a failure for which QuickCertify is responsible under the agreed service and applicable law, official or third-party charges already incurred may not be recoverable.
We do not guarantee that a rejected document can be corrected, resubmitted or accepted.
12. Original Documents and Physical Handling
Where an agreed service requires an original document, the submission and handover arrangements should be confirmed before the document is provided.
You should:
- Retain copies or scans of your documents where appropriate.
- Use the agreed submission method.
- Provide accurate contact and collection details.
- Inform us of any visible damage, unusual condition or special handling concern.
- Collect or arrange return of documents according to the confirmed arrangements.
While an original document is in our custody, we will take reasonable care consistent with the agreed service and applicable law.
Any claim involving loss, damage, misdelivery or delay should be reported promptly with the relevant order details and supporting information.
Our responsibility for an incident will be assessed in light of the agreed service, the facts, applicable law and any responsibility of other parties involved. Nothing in these Terms excludes liability that cannot lawfully be excluded.
13. Collection and Delivery
Unless expressly agreed in writing, QuickCertify does not provide courier or physical delivery as a standalone service.
Customers should confirm whether documents are to be collected in person or handled through a separately arranged courier or other delivery provider.
Where a third-party courier or delivery provider is used by agreement, its own terms and procedures may apply. QuickCertify does not control a third party’s independent operations, but this does not exclude any responsibility QuickCertify may have under applicable law or an express written commitment.
The customer should verify the recipient’s identity and inspect the returned documents promptly.
14. Customer Communications
We may communicate with you through the contact details you provide, including email, telephone, messaging services or other agreed channels.
You are responsible for keeping your contact details accurate and monitoring communications relevant to your service.
You should not send passwords, payment credentials or unnecessary sensitive identity information through ordinary email or an enquiry form.
Where we request further information, please respond within a reasonable time. Delayed responses or missing information may affect the processing schedule.
15. Privacy and Confidentiality
Our handling of personal information is described in our Privacy Policy, which forms part of the information governing your use of our website and services.
We will handle documents and personal information in accordance with that Policy and applicable law.
You authorise us to use and disclose information reasonably necessary to provide the service you have requested, including sharing relevant documents with authorities or providers involved in the agreed processing, subject to applicable law.
You should review the Privacy Policy before submitting personal documents.
16. Website Use and Intellectual Property
Website content, branding, graphics, text, design and other materials are owned by QuickCertify or used with permission, unless otherwise stated.
You may use the website for lawful personal or business enquiries relating to our services. You must not:
- Use the website for unlawful, fraudulent or misleading purposes.
- Attempt to gain unauthorised access to the website or its systems.
- Interfere with website operation or security.
- Copy or commercially exploit website content without permission, except as permitted by law.
- Submit malicious code, forged documents or knowingly false information.
We may restrict access where reasonably necessary to protect the website, our customers or our business, subject to applicable law.
17. Third-Party Authorities and Providers
Some services depend on government authorities, designated providers, notaries, embassies, consulates, Chambers of Commerce, universities, employers or other organisations.
Those parties may have their own eligibility criteria, fees, procedures, processing times and privacy practices.
QuickCertify does not control their independent decisions or internal operations. We will not represent their actions as being within our control where they are not.
This section does not remove any obligation QuickCertify has undertaken in relation to its own service or any liability that applicable law imposes.
18. Limitation of Liability
To the extent permitted by applicable law, QuickCertify will not be responsible for losses arising solely from matters outside its reasonable control, including independent decisions of authorities or receiving organisations, changes in official requirements, or third-party delays.
Where legally permissible, we will not be liable for indirect or consequential losses that were not reasonably foreseeable in the circumstances.
Any limitation of liability must be interpreted subject to applicable law. Nothing in these Terms excludes or limits liability for fraud, wilful misconduct, or any other liability that cannot lawfully be excluded or limited.
Where a limitation or exclusion is permitted, it applies only to the extent that it is lawful, reasonable and consistent with the agreed service and the circumstances of the claim.
19. Indemnity for Customer Misrepresentation or Misuse
To the extent permitted by law, you may be responsible for reasonable losses, claims or expenses directly arising from your fraud, deliberate misrepresentation, unlawful submission of documents or material breach of these Terms.
This does not make you responsible for losses caused by QuickCertify’s own breach, negligence or other conduct for which it is legally responsible.
Any claim under this section must be assessed in accordance with applicable law and the actual circumstances.
20. Suspension or Termination
We may suspend or decline to continue a service where reasonably necessary because:
- Required information or documents have not been provided.
- The request appears unlawful, fraudulent or materially misleading.
- The service is no longer available or cannot reasonably be performed.
- Continuing would create a material security, legal or operational risk.
- Required payment remains outstanding.
Where practicable, we will explain the reason and discuss available next steps.
Any amounts retained, refunded or payable following suspension or termination will be determined under the agreed service terms and applicable law.
21. Complaints and Dispute Resolution
If you have a concern about our service, please contact us first with:
- Your name and order or enquiry reference
- A description of the issue
- Relevant dates and communications
- The resolution you are seeking
We will review the complaint and respond within a reasonable period, subject to applicable legal requirements.
Where a dispute cannot be resolved informally, either party may pursue remedies available under applicable law. Nothing in these Terms removes a consumer’s statutory rights or prevents access to a competent court, commission or authority where legally available.
22. Governing Law and Jurisdiction
These Terms are governed by the laws of India, subject to applicable conflict-of-law principles and mandatory legal protections.
Subject to applicable law, disputes may be brought before the courts or other competent forums having jurisdiction.
Proposed place for jurisdiction clause: [Insert City and State after legal review]
This clause is not intended to deprive a consumer of any forum or remedy that applicable law makes available.
23. Changes to These Terms
We may revise these Terms to reflect changes in our services, business arrangements or legal requirements.
The updated version will be published on this page with a revised “Last Updated” date. Changes will apply as permitted by law. Where a change materially affects an existing confirmed service, we will address it in accordance with the applicable agreement and legal requirements.
24. Severability
If any provision of these Terms is held invalid or unenforceable, that provision will be applied only to the extent legally permitted, and the remaining provisions will continue to apply to the extent they remain valid.
25. Entire Agreement and Service-Specific Terms
These Terms, the Privacy Policy, the accepted quotation, order confirmation and any applicable service-specific conditions together describe the arrangements governing the relevant service.
If a service-specific written term conflicts with these general Terms, the documents should be interpreted together. Any priority between them must be determined by the wording of the agreement and applicable law.
No website wording is intended to override a mandatory legal right or obligation.
